At Goodwin Farm Services Ltd we are committed to the protection of your privacy. Any personal information you give to us will only be held with care and used in accordance with the General Data Protection Regulation (GDPR) 2018.

When contacting us on our website, emailing or calling us we may collect data from you. Below are details of how we handle your personal information. The data we collect is used to process your order or provide services you have requested from us.

The information we collect and what we use it for:

Your name – Including Title, First name, Last/Surname so that we can process your order or contact you about any enquiry you make.

Your address – Including delivery address to send you goods or provide you with services.

Contact telephone number and email – to contact you about your order or enquiry and/or to let you know it is on its way.

Company Name, VAT & business registration number (if applicable) – so we can process your order.

Details about your tractor, implement or machine - in order to give you the best possible service so, for example, we can provide the right part for your machine.

Details about previous purchases – in order to view what items have previously been supplied to you and give you a better service.

Credit/debit card details.

If you order over the phone we take your details but these are never stored on computer. The data is not retained for any longer than necessary to process your order(s) and we comply with our card processors and GDPR requirements to securely store any receipts and data.

 

Marketing

We also use some of the information above to send you information about our products and services which may be of interest to you (in so far as you have consented to this). You have the right at any time to stop us contacting you for marketing related purposes. You will only receive marketing emails from us if you have signed up for a newsletter. When receiving a Newsletter from us we will give you the option to only receive more if you opt to continue to receive them.

We sometimes send out postal marketing material and some customers may also receive a calendar at the end of the year. Lawful Basis for data processing

1)      Contract- Where the processing is necessary to perform the contract between the customer and Goodwin Farm Services Ltd

2)      Legal Obligation – Where we need to retain information to comply with legal obligations such as retention of receipts or invoices and administration records for a particular period of time. Or legal obligation to the police where we may need to share data for criminal investigations etc.

3)      Legitimate Interest - such as commercial interest, where we process certain data in order to run our business. We may also archive data for example, in order for you to re-use your account in the future. We may keep data for security or business purposes, for example to prevent fraud or abuse of our business or services.

4)      Where you have given permission to process the data concerned. For example, if you have explicitly consented to our marketing Newsletter. You may withdraw your consent at any time.

 

 

Who we share your personal data with

We share details such as your contact details with third parties such as parcel/courier/suppliers in order to send you goods or provide services. This is only what is necessary to provide you with the goods or services you have requested from us. This information will only be your delivery name, address, phone number and email and/or contact numbers provided to shipping companies and suppliers who directly ship products on our behalf. We do not share any of your data with third parties for marketing services.

We do not share your personal information with third parties unless in the unlikely event we are legally obligated to do so. For example with official organisations for financial, administrative, legal reasons or by court order.

 

How long we keep your data for

We keep your personal data only for as long as necessary for the purposes for which the information was collected, or for as long as required pursuant to law. We need for example, to keep some records such as copies of invoices or receipts which may contain personal information for up to six years. We may also have to retain data in relation to any legal claim or legal process for a longer period of time.

If you do not use your account for 36 months we will mark it as inactive but archive your details in case you wish to use our services again in the future and to easily re-activate your account.
